Wix Inventory Management 101: Everything You Need to Know in 2025

by Aurora Hoang
Aug, 2025
in Wix, Ecommerce Platforms

Wix inventory management is a crucial aspect of maintaining a well-organized and smoothly running online store. With the right setup, it helps you stay on top of what’s in stock, avoid overselling, and ensure your customers always see accurate product availability.

To help you make the best out of these features, we prepared a Wix inventory management guide. In this article, we will walk you through how to track inventory on Wix step by step so you can make the most out of your store:

  • Step 1: Open the Inventory dashboard;
  • Step 2: Enable stock tracking toggle;
  • Step 3: Update the inventory level;
  • Step 4: Decide what triggers for inventory levels to update;
  • Step 5: View Wix inventory reports;
  • Step 6: Manage inventory for multi-location (optional).

Not gonna let you wait any longer, let’s get started!

Overview of Wix Inventory Management

For Wix merchants, product inventory management involves maintaining accurate stock levels and keeping your storefront up to date. It ensures customers only see and buy what’s actually available, with real-time updates as orders come in or inventory changes.

This might sound simple, but poor Wix inventory management is one of the most common and costly challenges for online sellers. Overselling can lead to cancelled orders and unhappy customers. Forgetting to restock can mean missed sales. And having no clear system makes it harder to plan ahead or scale your business. Without proper control over inventory, even the best products can fail to deliver a good customer experience.

To manage your stock and inventory exclusively with Wix, you’ll need to use the Wix Stores app. This is Wix’s official eCommerce solution, and it’s completely free to install from the Wix App Market.

After installing, your Wix inventory dashboard will be provided with all the following features to help you simplify the management process:

  • Track stock automatically: your inventory updates in real time as sales happen.
  • Set up product variants: like different sizes or colors, with individual stock counts and SKUs.
  • Get low-stock alerts: so you know when it’s time to reorder.
  • Decide how to handle sold-out items: hide them, show them as unavailable, or allow backorders.
  • Make bulk updates: edit multiple products at once or upload a CSV file.
  • View inventory reports: track what’s selling, what needs restocking, and how your stock is performing overall.

How to Manage Your Wix Inventory Effectively?

After exploring what Wix inventory management offers, it’s time to learn how to use those features through the Wix Stores app. In the sections below, we’ll guide you through how to carry out each of these tasks, so you can manage your inventory efficiently and keep your store running smoothly.

Step 1: Open the Inventory dashboard

Go to your Wix site’s dashboard. From the left-hand menu, go to Catalog > Store Products > Inventory. This is where you can view all your products and their current stock levels in one place. You’ll use this dashboard to make updates, track stock, and set alerts.

Step 2: Enable Wix stock tracking toggle

Wix Stores gives you two flexible ways to manage inventory, and you can choose the method that works best for your business. You don’t have to stick to just one across your store; you can use different methods for different products.

Option 1: Mark products as “In stock” or “Out of stock”

If you prefer a simpler way to manage your products, Wix also allows you to control inventory manually by marking items as either “In Stock” or “Out of Stock.” In this method, you don’t track exact quantities; instead, you decide and update whether a product is available whenever needed.

Thus, we only recommend this option for those businesses with a limited number of products, or for merchants who don’t require detailed stock tracking.

To manage inventory this way:

  • Leave the “Track inventory” toggle turned off when creating or editing a product. This disables quantity-based tracking.
  • Set the product or variant status manually by marking it as either “In Stock” or “Out of Stock,” depending on availability.
Option 1: Mark products with inventory status
Option 1: Mark products with inventory status
  • Update the status as needed. For example, after selling out or restocking a product.

Option 2: Track specific inventory levels

Tracking inventory by exact quantity is a more precise and automated method that gives you full control over your stock. When you turn on the “Track inventory” toggle, you can enter the exact number of items available for each product or variant. Wix will then automatically adjust those numbers as orders are placed, keeping your inventory accurate without needing manual updates.

This method is ideal for businesses with a larger product catalog or steady sales, where knowing exactly what’s in stock at all times is important. To set it up, follow these steps:

  • First, turn on the “Track inventory” toggle in the Inventory & Shipping section of the product editor to enable automatic tracking.
  • Then, enter the starting stock quantity for the product based on your current inventory.
Option 2: Track the exact quantity level
Option 2: Track the exact quantity level
  • If the product has variants (such as different sizes or colors), turn on the “Manage pricing and inventory for each product variant” toggle. This will allow you to enter stock levels separately for each version.

  • Once live, Wix will automatically reduce inventory as each sale is made, helping you stay updated in real time.

Step 3: Update the inventory level

Once you've chosen how to manage products on Wix inventory, keeping stock levels accurate is key. Wix lets you update inventory directly from the Inventory tab in your site’s dashboard. Whether you're updating a single item or making changes in bulk, the process is simple and flexible.

When you restock or adjust inventory for a specific item, this is how to update Wix inventory for a single product:

  • From your Inventory dashboard, scroll through your product list and click on the item you want to update.
  • If inventory tracking is turned on for that product, update the stock by entering the new quantity directly.
  • Otherwise, if you're not tracking inventory, simply adjust the availability by selecting “In Stock” or “Out of Stock” from the Quantity dropdown.
Step 3: Update inventory level for single product
Step 3: Update inventory level for a single product

To update inventory for multiple products at once:

  • From the Inventory dashboard, select the checkboxes next to the products or variants you want to update. You can’t update tracked and untracked products at the same time.
  • Then, click Update Inventory.
Step 3: Click Update Inventory
Step 3: Click Update Inventory
  • Finally, decide how you want to update the stock:
    • Increase by amount: Add a specific number of units to all selected products (e.g. add 10 to each).
    • Reduce by amount: Subtract a specific number of units (e.g. remove 5 from each).
    • Set a new quantity: Replace current inventory with a new stock number (e.g. set all to 10 units).

Step 3: Adjust the inventory level

Step 4: Decide what triggers for inventory levels to update

When you're tracking specific inventory levels, Wix automatically updates stock as customers place orders. However, you can control exactly when that update happens, either when the order is placed or when payment is received.

From your Wix dashboard, go to Settings > Store Products & Inventory Settings in your site's dashboard.

Store Products & Inventory section
Step 4a: Open the Store Products & Inventory section

Under Update store inventory, select one of the following options:

Step 4: Decide the trigger to update inventory level
Step 4b: Decide the trigger to update the Wix inventory level
  • Only after the order is paid: Inventory is reduced only after you receive payment. This can help prevent inaccurate stock adjustments if a customer abandons checkout or payment fails. However, keep in mind that with some payment providers, payment confirmation may take a few days.
  • When the order is placed: Inventory is updated immediately after the customer completes checkout. This helps reserve stock right away and can reduce the risk of overselling for fast-moving products.

Step 5: View Wix inventory reports

Once your inventory system is up and running, it’s a good idea to check in regularly using Wix inventory management reports. These reports provide a quick overview of your current stock levels, along with helpful details such as the total value of each product. It’s an easy way to stay on top of what’s available and how much your inventory is worth at any given time.

All you have to do is click on the “View Detailed Report” button at the top of the Wix inventory management dashboard:

Step 5: View detailed Wix inventory report
Step 5a: View detailed Wix inventory report

By default, the inventory snapshot is set to the current day, so you’re always seeing up-to-date information.

Step 5: Wix inventory snapshot
Step 5b: Wix inventory snapshot

Step 6: Manage inventory for multi-location (optional)

If you run both an online store and a physical shop (or multiple locations), Wix lets you manage inventory separately for each site directly from your dashboard. This is especially useful when you sell in brick‑and‑mortar locations using Wix POS Register.

First, you need to set up your locations. From your Wix dashboard, navigate to Settings > General > Business Info and click “Add a Second Location”.

Step 6: Click "Add a second location" on Wix
Step 6: Click “Add a second location” on Wix

Enter the address and name (optional), then enable the “This is an inventory location for my store” toggle.

Step 6: Fill in the information for Wix second location
Step 6a: Fill in the information for Wix second location

After that, repeat this step to add each store, warehouse, or other location where you manage inventory.

From now on, you can choose which products you want to manage inventory for at each specific location. If a product has variants, you can also select which versions are stocked at that location. To do so, use the Location dropdown in the Wix inventory management dashboard to pick the location you want to manage.

Select an inventory location in the POS tablet
Step 6b: Select an inventory location in the POS tablet

During the initial setup of the POS Register, you'll be prompted to choose both the tablet's assigned location and the inventory location it will use. You can return to the Business Info section on the tablet at any time to make changes. The selected location determines which products appear in the POS, only items stocked at that location will be available for sale on the tablet.

Wix Inventory Management: FAQs

Does Wix have an inventory management system?

Yes. Wix has a built-in inventory management system available through the Wix Stores app. The Wix dashboard allows you to track stock levels, manage product variants, set low-stock alerts, update inventory in bulk, and generate inventory reports.

What is the 80/20 rule in inventory management?

The 80/20 rule, also known as the Pareto Principle, suggests that around 80% of a store’s revenue typically comes from 20% of its products. In inventory management, this means focusing on the top-performing items to ensure they are always in stock.

Which software is commonly used for Wix inventory management?

The primary tool for effective Wix inventory management is the Wix Stores app. It’s built by Wix and integrated into your site’s dashboard. Some businesses may also use third-party apps like LitCommerce, Zoho Inventory, or SKU IQ for more advanced inventory or order management, but Wix’s native tools cover most small business needs.

How do I keep track of my inventory on Wix?

You can track inventory in Wix by enabling the “Track inventory” toggle for each product or variant. Once turned on, Wix will automatically update stock levels when orders are placed.

Can I display low stock indications in the product page?

Yes. Wix allows you to show a low-stock message on product pages. This can help create urgency and encourage purchases. To enable it, go to your product settings and toggle on the “Low stock message” option when stock drops below a certain threshold.

How can I manage Wix inventory for products that were pre-ordered?

Wix allows you to mark products as “Available for Pre-Order” in the product settings. When enabled, customers can purchase items before they’re in stock, and you can set expectations for shipping times. Inventory levels for pre-order items are still tracked and updated once stock becomes available and orders are fulfilled.

Conclusion

Overall, Wix inventory management gives you everything you need to stay on top of your stock, from tracking quantities and managing variants to updating inventory in real time.
