This allows QuickBooks to group them into one receipt.<\/p>\n<p>There are also some important limitations to keep in mind when preparing your file:<\/p>\n<ul>\n<li><strong>Discounts and negative values are not supported<\/strong>, so you\u2019ll need to leave out any discount lines or rework them manually<\/li>\n<li><strong>Custom transaction numbers<\/strong> must be turned on in QuickBooks if you want to preserve the original WooCommerce order numbers.<\/li>\n<li><strong>VAT columns <\/strong>should only be included if VAT is enabled in your QuickBooks account \u2013 otherwise, QuickBooks will calculate tax for you automatically.<\/li>\n<li><strong>Limit your import to 100 sales receipts at a time<\/strong> for best performance and to avoid upload errors.<\/li>\n<\/ul>\n<p>Once your file is fully formatted and double-checked, save it as a <strong>.csv<\/strong>.<\/p>\n<h3>Step 3: Upload the CSV file to QuickBooks<\/h3>\n<p>Now, it\u2019s time to import data from WooCommerce to QuickBooks by uploading your file with the built-in import tool.<\/p>\n<p>To begin, click the <strong>Gear <\/strong>icon in the top-right corner of your QuickBooks dashboard. Under <strong>Tools<\/strong>, select <strong>Import data<\/strong>, then choose <strong>Sales receipts<\/strong>.<\/p>\n<p>QuickBooks will prompt you to review the required fields and provide a sample file as a reference. Click <strong>Browse<\/strong>, then select the CSV file you just prepared.<\/p>\n<p>If your file doesn\u2019t include line items, QuickBooks will assign them to a generic item called Sales by default. To streamline the process, you can check the boxes to <strong>automatically create any new customers or items <\/strong>that don\u2019t already exist in your QuickBooks account. Once everything looks good, click Next to continue.<\/p>\n<h3>Step 4: Map column headings<\/h3>\n<p>Once your file is uploaded, QuickBooks will prompt you to map each column from your CSV to the correct QuickBooks field. Required fields are marked with an asterisk (*), and any unnecessary columns can be set to <strong>Not applicable<\/strong>.<\/p>\n<p>Make sure to select the correct <strong>date format <\/strong>(e.g., DD\/MM\/YYYY or MM\/DD\/YYYY) to match your file.<\/p>\n<p>If <strong>VAT is enabled<\/strong>, you\u2019ll also need to choose whether the amounts are <strong>inclusive or exclusive of tax<\/strong>, and map your VAT codes to QuickBooks' tax codes.<\/p>\n<p>QuickBooks will highlight any missing or mismatched fields, giving you a chance to fix them before moving on.<\/p>\n<h3>Step 5: Start the import<\/h3>\n<p>After you\u2019ve mapped all the fields, QuickBooks will display a final import summary so you can review the data one last time.<\/p>\n<p>If everything looks correct, click \u201c<strong>Start import<\/strong>\u201d to begin. QuickBooks will process your file and show a summary once it\u2019s done.
